For your Final Term Paper, you will be planning and designing your own event. In Assignment 1, you developed your event concept. In Assignment 2, you designed your event. In Assignment 3 you planned your event. And in Assignment 4 you formulated your event budget. All of these assignments have been pieces of your Final Term Paper.
Keep in mind that planning a special event should clearly identify the "who", "what", "when", "where" and "why" of the event. The first essential step is setting event goals and clearly defining objectives. The meeting professional or organizer (which is now you) should understand the motivations of the attendees – why should they attend? What is "in it" for them? In the design phase of planning an event, you are establishing all the details needed for the event to be successful. This includes the venue, any ancillary services, menu selections, entertainment, and so much more. The design phase is generally what needs to be contracted and what shapes the event. In the planning phase, you are reviewing all the event logistics such as invitations, room diagrams, a marketing plan, and a timed agenda (or timeline of activities). This is to make sure they nothing has been overlooked. And finally you have formulated your budget, which will give you a clear direction of what you can spend for each item of the event. Each product and/or service needs to be accounted for and each item should equal (or be less than) the overall budget amount given to produce the event.
For the purposes of this assignment, you are the meeting planner responsible for planning this one-time event on behalf of your company or association.
